Baker Street Advisors is looking for an Administrative Assistant to join the team. As the welcoming first point of contact for our office, the Administrative Assistant creates a professional and organized experience for visitors, clients, vendors, and employees while keeping day-to-day operations running smoothly. This highly collaborative role oversees front desk and phone coverage, office and kitchen supplies, meeting and mail logistics, facilities coordination, document support, errands, and a variety of administrative and special projects across the firm.

The ideal candidate brings 1–2 years of administrative, receptionist, office coordination, or related experience and is organized, polished, dependable, and comfortable managing competing priorities. They are proactive, service-oriented, detail-focused, and able to communicate effectively with visitors, vendors, and colleagues across the firm.

HOURS: 9.00 a.m. to 5.00p.m. daily

LOCATION: San Francisco, CA (Onsite)

Responsibilities

  • Answer the front door, greet and direct visitors and advise appropriate employees of arrival
  • Accept vendor deliveries and distribute upon arrival
  • Answer, screen and transfer incoming calls and take/relay messages
  • Maintain a clean, tidy and orderly front desk, conference rooms, copy room and kitchen
  • Order and stock all office and kitchen supplies – predict needs and keep inventory levels consistent, within the budget provided
  • Manage conference rooms and meeting schedule, including refreshments and catering needs
  • Run errands – bank deposits/pick-up’s, Post office mailings, last-minute meeting catering, etc.
  • Manage all mail, in and out, including certified, overnight services and postage meter
  • Scanning, filing, and document maintenance assistance
  • Assist with facilities maintenance needs
  • Provide general administrative support to various departments and EA when requested
  • Assist with additional client-specific and company-specific special projects as needed

Requirements

  • Bachelor’s or Associate degree preferred
  • Highly efficient with excellent attention to detail
  • Strong time-management skills
  • A willingness to work collaboratively with co-workers to accomplish tasks and projects
  • High degree of aptitude and comfortability with technology
  • Excellent verbal and written communication skills
  • Highly organized with ability to multitask in a sometimes fast-paced environment
  • Professional, positive and friendly demeanor with a can-do attitude
  • Reliable – strong work ethic
  • Proficient in Outlook, Excel and Word
  • Must be able to lift 30 pounds

Starting salary: $80,000 - $85,000 annually. Full benefits include, health, dental, life insurance, and 401(k) plan.
